Taking Minutes at Your Video Conference Call

Having a good minute taker is essential for smooth business operations. A minute taker documents all of your meetings, and helps you get the most out of your teleconferencing services.

If you’re placed in charge of taking the minutes at your next meeting, follow these tips to make sure you do your job properly.

Identify Attendees- The first thing you should do when you get to the video conference facility is write down everyone attending the meeting. Furthermore, you should take notes of who failed to make the meeting. This will provide clear documentation that will help with follow ups later on.

Decisions Made- During a typical video conference, several topics will be discussed. With all of the ideas being thrown around, it can be difficult to keep track of the outcome of these conversations. Your job as minute taker is to record the decisions agreed upon during these discussions. This will save your company from having to readdress the topic again at a future meeting-thus maximizing the efficiency of your video conferencing services.

Open Topics- Sometimes, you won’t be able to reach a firm decision within the time allotted for your meeting. Or, you may not get to discuss every topic on the meeting agenda. For this reason, it’s necessary for you to keep track of all open topics. These are subjects that should be addressed in the next company meeting.
